Reconcile refunds and authorization holds

Link merchant cancellation, pending card entries and returned funds without confusing them with separate final charges.

The essentials

  • Keep authorization, settled purchase and refund as separate states.
  • Record merchant confirmation and card credit dates separately.
  • For Borrow purchases, check repayment separately from the refund.

One order can create several records

If an amount remains visible after you cancel an overseas hotel or goods order from Korea, read its status first. Ether.fi describes Pending as an authorized amount temporarily reserved. Before establishing how records relate to the order, do not count both a pending amount and a final payment as two settled expenses.

In a hypothetical hotel example, a $100 pending authorization beside an $80 final stay charge does not establish $180 of settled spending. Record each reference, date and status, then investigate whether the entries relate. If both are actually settled charges, however, you have a different issue that needs an explanation rather than an assumption.

Track the two refund clocks

Separate the refund request date, merchant processing confirmation and account credit date. RedotPay states a 2–15-day crediting period after it receives the merchant’s refund. Reading that interval as an end-to-end promise starting when you press cancel can lead you to ask the wrong party about the wrong stage.

Find the missing stage in the register below to decide what to ask and whom to ask. If merchant processing is unconfirmed, request its refund reference; if confirmed, link that evidence to the card transaction. For a partial refund, record the expected return separately from the original order amount so the difference is not mistaken for missing funds.

Reconcile after the money returns

When funds return, match the original payment and refund in their recorded currencies before updating your won budget. If you used different personal conversion rates for the purchase and refund, the won totals can differ. Check the original-currency entries before interpreting that accounting difference as a missing refund from the card provider.

A Borrow-mode purchase needs one additional check: ether.fi says a refund does not automatically repay borrowing. Review the outstanding debt and any manual repayment needed alongside the refund entry. Close the order only once each state is explained, keeping the receipt and relevant support replies attached to the same record.
