- Close the case only after reconciling the actual credit or released hold.
A cancelled order does not identify the card status
Suppose a Cavite household cancels an online appliance order and needs the money for another seller. The merchant says cancelled, but the card app still shows a reserved amount. First ask whether the merchant captured the payment. A cancelled order, an authorization reversal and a refund of a settled payment describe different events.
RedotPay distinguishes Authorized, a temporary hold, from Cleared, a settled transaction. Ask which status applies to the original entry before requesting a refund trace. If two entries appear after repeated attempts, record both references and statuses; two pending entries alone do not establish two completed purchases or two refunds owed.
Start the appropriate clock
The checked RedotPay guidance says failed-payment holds usually return in 2–5 days. Merchant refunds can take 30 or more days, with RedotPay describing credit within 2–15 days after receipt. Record the merchant’s processing date and ask whether the provider has received the refund; the order cancellation date alone cannot locate the delay.
Bitget Wallet’s APAC refund guide describes seven business days typically, with exceptional cases taking 30–45 business days. It does not publish a separate authorization-release deadline. Do not apply the refund window to an unresolved hold by assumption. Keep calendar days and business days clearly labelled, and ask support what event starts the relevant period.

Keep a record that can be traced
Build one case record containing the original merchant receipt, transaction reference, currency and amount, current status, cancellation confirmation and any refund reference. Add each contact date and what the merchant or provider actually confirmed. This turns a vague missing-money complaint into a specific question about capture, refund transmission or balance credit.
When the amount returns, record the credited balance and compare it with the original debit. A refund need not recreate the original wallet transfer; do not assume a particular returned token. RedotPay says the original transaction fee is excluded from merchant refunds. Leave the replacement appliance budget untouched until the returned funds are actually available. If only part of the amount returns, keep the case open with a clearly stated unresolved difference and supporting references.
- Original event: order date, card reference, PHP price, billed currency and authorization or settlement status.
- Follow-up event: merchant processing confirmation, refund reference, provider receipt status and the stated timing unit.
- Resolution: released hold or posted credit, amount received, remaining difference and support outcome.
