Spanish hotels: preauthorization versus a refund

Separate booking payments, check-in holds and final charges when budgeting available funds.

The essentials

  • Ask the hotel about its card and deposit policy
  • Separate pending holds from settled charges
  • Reconcile the remaining balance after checkout

Ask the hotel about its card and deposit policy

Before booking an EUR room in Spain, ask the property whether it accepts your debit or prepaid product for the security deposit. A successful booking-site payment does not establish acceptance for check-in preauthorization. Ask whether the named guest must present a physical card and what documents the property expects.

Separate a prepaid room price from the amount the hotel plans to reserve at arrival. Use the property’s confirmed figure in your available-balance budget and leave transport and meal money outside that reservation. A second payment method can help if the first card cannot meet the deposit policy.

Separate pending holds from settled charges

After check-in, read the app status beside the EUR amount: is it an authorization or a completed purchase? A hold and a final charge can appear together while the reservation is being resolved. Compare both with the hotel folio before identifying the pair as an actual duplicate charge.

Bybit EU describes authorization holds lasting up to 30 days; this is not a universal hotel-refund promise. For Nexo too, distinguish a pending authorization from a settled purchase requiring a refund. Ask the property for its release or refund action date and the reference identifying that action.

Reconcile the remaining balance after checkout

At checkout, keep the final EUR receipt, confirmation of deposit release and any separate refund confirmation as distinct documents. An increase in available balance when a hold disappears differs from a newly posted refund credit. Do not count these two outcomes as receiving the same money back twice.

For an unresolved item, send the booking number, card transaction reference, amounts, dates and hotel response to official card support. Bybit EU refunds return to the EUR Funding Account. If the stay originally consumed USDC, judge the returned euros rather than expecting the previous USDC quantity to reappear.

  • Confirm the hotel’s card and deposit rules.
  • Identify hold versus settled-charge status.
  • Keep the folio, release and refund records.
